TERMS & CONDITIONS FOR ITU AI FOR GOOD GLOBAL SUMMIT REGISTRATION & PARTICIPATION

These terms and conditions (“Terms”) govern the registration and participation at the AI for Good Global Summit, scheduled to take place in Geneva, Switzerland 7 to 10 July 2026 (the “Event”).  The International Telecommunication Union (“ITU”) organizes the Event for participants who accept and agree to be bound by these Terms. By registering for the Event, whether for a Discovery, Gold, or Leaders Pass, and whether via the Event’s online registration system, in person at the Event, or otherwise, you (as a natural person or on behalf of your employees, agents and contractors, or any person on whose behalf you accept these terms – collectively, “You” or “Participant”) indicate Your acceptance and agreement of these Terms and You represent and warrant that You are at least 18 years of age and authorized to accept these Terms. ITU reserves the right to modify and update these Terms at any time, and in such an event, it will post a corresponding information notice on the Event website. All amendments shall automatically be effective immediately when posted on the website, and You agree to periodically revisit the Event website and to review such amendments, if any.

If you are registering on behalf of another person, it is your obligation to make sure that the person attending is aware of these Terms and accepts them. By completing and submitting the registration form you are representing and warranting that you have made the person attending aware of these Terms and that they have accepted these Terms.

REGISTRATION

1. You represent that the information you provide to the Event website (whether for creating your Account or at any other time) is true, accurate, and kept up-to-date.
2. A description of entitlements for holders of Discovery, Gold, and Leaders Passes is available on the Event website.
3. You will receive a payment receipt indicating the successful purchase of your Pass.You will then receive a separate registration confirmation email to the event. The “Registration confirmation” email must be presented, along with a government-issued photo ID, onsite at the Event’s registration desks in order to obtain an Event badge. You must demonstrate your Event badge in order to attend the Event activities and have your Event badge on your person at all times while attending the Event. While at the Event, you will have to carry a government-issued photo ID along with Your badge. You are solely responsible for the accuracy of all information provided during Your registration.

OBTENTION OF DISCOVERY PASSES; SALES OF GOLD AND LEADERSPASSES; PAYMENT DETAILS

4. Discovery, Gold, and Leaders Passes are available on a first-come-first-served basis. ITU reserves the right to close registration for Passes at any given time should venue capacity or other constraints necessitate such action.
5. Obtention or sale of Passes other than directly from ITU is prohibited. Passes are strictly personal and cannot be resold, gifted, or otherwise transferred without the prior express permission of ITU.
6. Passes can only be obtained through the Event website. Prices for the Passes are in Swiss Francs and may be subject to change without notice. If you have already purchased a Pass, you will have no obligation to pay the difference in case of an increase in price. If you have already purchased a Pass and there is a decrease in price, you will not be entitled to any refund.
7. ITU will communicate any criteria for discounts, which may be available to certain participants, on the Event website and/or registration page. It is Your responsibility to, if You are eligible, apply for the discount and provide to ITU the necessary documents in order for ITU to confirm Your eligibility and confer the discounted Pass. ITU retains the right to solely determine who is entitled to any offered discounts for any of the Passes, based on the documents You provide and the eligibility requirements. If you purchase a Pass for full price, and only later determine that you could be eligible for a discount, ITU is under no obligation to review your case and will not issue a refund.
8. Passes must be fully paid for in advance. Payment can be made through the following methods only:
By credit card: Credit card payments are processed through Stripe. Payment through this method is strongly recommended, due to its faster processing. Accepted credit cards are Visa, MasterCard, and American Express. You will be asked to enter your credit card information which will be used for the payment.
By Paypal
By bank transfer: Payment through this mode is not encouraged due to the variable time it may take to complete the process. Full payments must be received by ITU in Swiss Francs (CHF) no later than 23:59h CET, 14 June 2026 in the following bank account:

Please note that the bank transfer option is not available for Discovery Pass purchases.

9. Payments should be made in Swiss francs (CHF) or in other currencies freely convertible into CHF, provided that, when converted by the bank, the price of the Pass in Swiss Francs is covered by the payment in full. You are solely responsible for paying, as and when due, any and all applicable taxes, duties, charges, fees, costs and other expenses which are or may be levied by third parties in connection with your purchase of a Pass.
10. Once ITU receives confirmation of your bank transfer payment and it is successfully processed, ITU will send you a payment receipt email, which will also serve as the invoice for your internal accounting needs. Following this, you will receive a separate email confirming your registration for the event. This second email will serve as your official “registration confirmation email.” ITU reserves the right not to confirm, or retroactively reject, your registration, in which case your payment will be refunded.

NON-ATTENDANCE, PASS TRANSFERS AND PASS CANCELLATIONS; TRAVEL AUTHORIZATIONS AND ARRANGEMENTS

11. All Pass sales are final. Regardless of Your Pass type, You will be liable for the entire cost of Your registration and participation to the Event, regardless of Your cancellation of registration, Your unwillingness, failure or inability to attend the Event for any reason. No refunds will be given, unless otherwise specifically mentioned in these Terms.
12. If You purchase a Gold or Leaders Pass and are no longer able or willing to attend the Event, or you wish to upgrade or change to a different Pass, You must inform ITU as soon as possible. You may transfer the original Gold or Leaders Pass to a colleague by requesting a name change on the Pass, no later than 7 days before the beginning of the Event, by emailing aiforgoodpasses@itu.int. ITU is at its sole discretion to permit the name change and is under no obligation to do so.
13. Discovery Passes are non-refundable and non-transferable. Please note that the option outlined above, in Section 12, does not apply if You have purchased a Discovery Pass.
14. If You purchase a Discovery, Gold, or Leaders Pass but subsequently obtain a role in the event that entitles You to a complimentary Gold or Leaders Pass (i.e., as a speaker or as part of a sponsorship package), then You may transfer your Gold or Leaders Pass to a colleague. You may do so by requesting a name change on your Pass, no later than 7 days before the beginning of the Event, by emailing aiforgoodpasses@itu.int.
15. You are solely responsible for making all arrangements and for obtaining all authorizations which are necessary (i) to travel to and from Switzerland to attend the Event, as well as (ii) to stay in Switzerland and participate in the Event. You are solely responsible for all costs and expenses associated with such arrangements and authorizations, including, without limitation, any visa, permit, travel, meals, accommodation and insurance costs. ITU shall have no liability or obligation in connection with any such authorizations, costs or expenses. Nor will ITU be under any obligation to provide a refund or any compensation, financial or otherwise, if, inter alia, you do not obtain or are not granted the necessary visa, travel documents, etc, and are consequently unable to attend the Event.
16. You will be responsible for cancellation of travel and hotel reservations (including any associated costs, such as those mentioned in the previous paragraph) if You do not attend the Event for any reason.

TITLES, ACRONYMS AND LOGOS OF ITU AND THE EVENT

17. The name, title, acronym and logo of ITU and of the Event are the sole property of ITU and shall not be used by any Participants without the prior written authorization of ITU. Subject to compliance with the foregoing, any use of the Event name, title, acronym and/or logo shall be permitted only if such use is in accordance with the conditions for their use, available upon request from ITU, and solely in connection with promotional activities relating to the Event.

CHANGE IN EVENT LOGISTICS AND/OR PROGRAMME; EVENT CANCELLATION

18. ITU reserves the right at any time to modify the venue, location, speakers, moderators, format, content, program, dates and/or hours of the Event or any of its activities. No refunds or compensation will be provided to Participants as a result of these changes, unless otherwise confirmed by ITU.
19. ITU reserves the right to cancel the Event in its entirety. If ITU exercises its right to cancel the Event, Participants who purchased Discovery, Gold, or Leaders Passes will be entitled to a corresponding refund of the Pass. No other refunds or compensation will be provided.
20. You acknowledge and agree that any exercise of ITU’s right to modify or cancel the Event in accordance with these Terms shall not give rise to any liability or obligation of ITU, nor to any claim or remedy by You. Any refund paid to You by ITU in case of cancellation of the Event shall constitute a final settlement of any dispute between You and ITU and shall discharge any and all liability of ITU to You.
21. For the avoidance of doubt, ITU is not liable to You or any third party for any claims, costs or damages, direct or indirect, consequential, punitive, incidental, special or general resulting from any modification to or cancelation of the Event by ITU (including, but not limited to, travel and accommodation expenses). ITU’s right to modify the Event logistics or Programme and to cancel the Event in its entirety is without prejudice to any rights, privileges, and immunities to which ITU is entitled.
22. Access to the Event venue during the Event is governed by an admission hierarchy and is subject to venue capacity limitations. Holders of Leaders Passes receive the highest priority for access and entry, followed by Gold Pass holders, and then Discovery Pass holders. Although Discovery Passes are paid passes and grant access to the Event, entry remains subject to venue capacity limitations and the established priority hierarchy. Should the Event venue reach full capacity, access will be closed to Discovery Pass holders until adequate space becomes available. The Event’s security team is tasked with managing entry in line with these terms, and all attendees must comply with their directions regarding access to the Event venue. Non-compliance may result in denial of entry or ejection from the Event.

LIMITATION OF LIABILITY

23. You acknowledge and agree that You assume the entire risk arising out of or in connection with Your registration, attendance, and participation at the Event. ITU gives no express or implied warranties or guarantees regarding the Event website and the Event. If ITU is liable to You for any reason, in no event will ITU’s total liability to You for all damages, losses, and causes of action arising out of or relating to the Terms, Your use of the Website, or Your participation in the Event, exceed the amount paid by You, if any. In no event shall ITU be liable to You or any third party for any indirect, incidental, special, punitive or consequential damages (including, without limitation, loss of use, loss of profits or revenues or other economic loss). Subject to the above, you agree that any action must be commenced within one year after the cause of action arises.
24. ITU makes every effort to ensure, but cannot and does not guarantee, and makes no warranties as to, the accuracy, accessibility, reliability, suitability and timeliness of the content of the Event website, including but not limited to information concerning the Event. All such content is provided on an “as is”, “as available” and “with all faults” basis. ITU assumes no liability or responsibility for any errors or omissions and further disclaims any liability of any nature for any loss or damage howsoever caused in connection with using the Event website.

INDEMNIFICATION

25. You agree to indemnify and hold harmless ITU and its officials from and against any and all claims, demands, losses, damages, costs and expenses, including reasonable attorney fees, arising out of or related in any way to Your Event registration, attendance and participation to the Event, violation of these Terms, or violation of any applicable law.

USE OF YOUR PERSONAL INFORMATION

26. ITU processes your personal data in accordance with the ITU Data Protection and Privacy Policy (2023).
27. In addition to the terms of the  privacy policy of the AI for Good website, the following terms apply with respect to the collection and processing of your personal information by ITU for the Event. In case of discrepancy between the AI for Good website privacy policy terms and these Terms, the latter shall take precedence.
28. ITU collects and processes the personal information you submit when you use the Event website only to fulfil the purpose for which it was submitted;for example, ITU may process your personal information to finalize the creation of your Account, to complete your registration for the Event, to conclude a transaction (e.g. effect/receive a payment, for the sale of Passes) or to provide you with specific content or information you wish to access.
29. ITU uses “cookies” to provide you with an enhanced and more personalized experience of the Event website, e.g., by estimating usage patterns, customizing the appearance of the Website to your individual preferences, by remembering such individual preferences when you revisit the Event website. You may opt to deactivate cookies completely through your browser preferences; however, this may affect the functioning or appearance of the Event website. ITU may also process your Internet Protocol (“IP”) address and collect analytics data or use third party analytics tools for the purpose of measuring traffic or usage trends of the Event website.
30. In no event whatsoever does ITU sell or trade your personal information with others.
31. ITU shares your personal information with Stripe but only to the extent that such sharing is necessary to effectuate the transaction of sale concerning Discovery, Gold, or Leaders Passes, as described above.
32. By attending the Event, You grant ITU, and any third parties hired by, or given permission to by ITU, the right to record, film, photograph or capture Your image, likeness and/or voice during the Event, in any media now available and in the future developed, and to use, copy, modify, distribute, broadcast or otherwise disseminate at any time and on a global basis such media, without any further approval from or payment to You.

GENERAL TERMS

34. ITU shall not be liable for any failure to perform any of its obligations under these Terms that is caused by circumstances beyond its reasonable control, including but not limited to acts of God, war, acts of terrorism, disease or pandemic, virus propagation, airline flight cancellations, strikes, or failure of third parties to deliver goods or services, ITU shall be relieved of its obligations and liabilities for as long as, despite reasonable efforts by ITU, fulfilment or performance is hindered, delayed or prevented.
35. ITU’s failure to exercise or enforce any right or provision of the Terms shall not constitute a waiver of such right or provision unless acknowledged and agreed to by ITU in writing.
36. ITU reserves the right to cancel Your registration, revoke Your Event Pass, or deny Your admittance to the Event, in case You fail to observe any of these Terms, and/or the Terms listed in the United Nations Code of Conduct, and/or behave in a manner that creates a safety or health risk, and/or disrupt the production or enjoyment of the event for another guest or partner of the Event. ITU is not responsible for any damages, direct or indirect, resulting from such cancellation, revocation, or non-admittance.

38. Any dispute between you and ITU arising from or relating to these Terms and the Event shall be settled by an agreed mode of arbitration, which shall be the exclusive mode of resolving disputes hereunder.
39. Nothing contained in these Terms or relating to these Terms and the Event shall be construed as a waiver, whether express or implied, of any of the privileges, immunities or facilities which ITU or any of its officials enjoys by virtue of the international agreements and national laws applicable to ITU. ITU hereby expressly reserves all such privileges, immunities and facilities.
